This role is part of the Business Systems Strategy team within the larger Operations team at NASPA. Our team is responsible for defining the technical direction and shaping the technology strategy for the organization, with a specific focus on software solutions. We also oversee the end-to-end execution of the technology roadmap.

 

Our team’s mission is to empower our staff with the technology tools they need to succeed while ensuring a seamless experience for our members in their engagement with NASPA. In this role, you will oversee technical projects that are vital to NASPA’s success, directly contributing to the achievement of our organizational goals.

 

About the Position 

We are seeking a detail-oriented and technically savvy Systems Support Specialist to join our dynamic Business Systems team. In this role, you will be responsible for the hands-on administration of various platforms, including user management, data configuration, integration support, and troubleshooting. The ideal candidate possesses strong problem-solving skills, a keen eye for accuracy, and a genuine interest in optimizing and managing software platforms. You will collaborate with stakeholders across the organization to understand system and data needs, ensuring smooth execution and alignment with business goals. Additionally, you’ll be a point of contact for our employees who experience any software- and hardware- related issues, troubleshooting as appropriate and managing escalations where needed. We’ll train you on all of the systems we use internally but expect that you’ll come into the position with a strong technical aptitude and demonstrated ability to complete the essential responsibilities of the position. 

 

Essential Responsibilities

  • Serve as the point of contact for internal technical inquiries or issues related to hardware and software. Investigate or troubleshoot issues and escalate through appropriate channels when necessary.

  • Engage in continuous improvement efforts to track and manage recurring issues. Collaborate with stakeholders to address and reduce incidence rate through root cause remediation, documentation, and training.

  • Collaborate with stakeholders from across the organization to plan, gather requirements, and execute technical support tasks for various business activities.

  • Configure websites, mobile applications, reports, form builders, CRMs, and custom web-based applications using existing no- and low-code solutions and pre-built templates.

  • Create, track, and manage users in various systems to ensure appropriate systems access for NASPA employees. 

  • Create and maintain data in various systems to support business processes, using both manual entry and bulk import, ensuring impeccable data quality.

  • Track and manage inventory of laptops and other hardware assigned to staff, including device assignments, provisioning dates, and status, while coordinating with our external IT contractor for support, repairs, and provisioning.

  • Provide virtual on-call support during NASPA initiatives, which may occasionally include weekends and evenings.

  • Assist with all-team projects and participate actively in staff meetings and projects.

  • Other activities, duties, and responsibilities as assigned to support the Association.

Qualifications

  • Associate’s degree or Bachelor’s degree in Information Technology, Computer Science, or a related field, preferred. An equivalent combination of education and professional experience will also be considered.

  • 2-5 years of experience in a similar role, though entry-level candidates that meet the rest of the requirements are welcome to apply.

  • Strong technical aptitude and interest in learning new software tools required; experience with spreadsheet applications, Workato, Qualtrics, Salesforce, or similar, preferred.

  • Excellent attention to detail and demonstrated ability to perform meticulous data configuration work, ideally including bulk data updates.

  • Desire and demonstrated ability to streamline processes and identify areas for improvement; experience identifying and implementing process improvements preferred.

  • Basic knowledge of systems integrations, data structures, and/or user administration preferred.

  • Strong communication skills and the demonstrated ability to respond effectively to user inquiries.

  • Highly organized with a demonstrated ability to create and manage documentation related to work.

  • Demonstrated ability to work independently and as part of a collaborative team.

  • Demonstrated ability to take initiative, use sound judgment, resolve problems diplomatically and discreetly, and work effectively, independently, and cooperatively with all levels of staff and constituents to achieve Association goals and objectives.

The salary range for this position is $62,000-$67,000.

This position is situated in the Learning and Event Engagement Team, which is responsible for the planning and execution of a suite of professional development offerings to NASPA members. NASPA provides conferences, workshops, and symposia that educate and empower student affairs professionals to advance student success in higher education. 

 

About the Position 

The Meetings and Events Manager (MEM) plays a vital role in supporting NASPA’s place-based and online programmatic efforts, conferences, and events. Working closely with the Director and Associate Director of Meetings and Events (DoME and ADME), the MEM assists with all aspects of event coordination for assigned NASPA HQ and regional events. This position collaborates with NASPA staff and regional volunteers to ensure smooth execution and high-quality experiences for all participants. By managing key components of event operations, the MEM contributes to the success of meetings and conferences, enhancing participant engagement and ensuring that organizational standards are met.

 

Essential Responsibilities

Responsibilities include, but are not limited to:

Event Planning and Coordination

  • Work collaboratively with NASPA staff and volunteers to coordinate the planning, logistics, and execution of conferences, workshops, and other events.

  • Assist with venue assessments, menu planning, vendor management, and speaker coordination.

  • Serve as the point of contact for managing communications with participants, presenters, and vendors to ensure clear and timely updates before, during, and after events.

  • Support budget management by assisting with the review of event budgets, processing select payments and reimbursements, and monitoring event-related expenses.

  • Contribute to the success of both virtual and in-person events by coordinating logistics such as shipping, vendor services, and volunteer management.

 

Program Support and Scheduling Management

  • Assist with the preparation and distribution of event-specific materials, ensuring timely delivery of shipments to event locations.

  • Assist in managing program scheduling, including the coordination and assignment of program reviewers, maintaining reviewer and applicant lists, and assisting with the program selection process.

  • Ensure event materials such as invitations, name badges, slide decks, templates, and program books are designed, edited, and prepared according to organizational standards.

 

Participant Engagement and Communication

  • Serve as a key point of contact for participant communication, addressing inquiries, providing event information, and managing shared email and voicemail boxes.

  • Coordinate and assist with speaker and presenter needs, including managing logistics, schedules, and communications.

  • Assist with post-event assessments, gathering participant feedback and helping to evaluate the success of the event for future planning.

 

Event Logistics and Execution

  • Assist with logistical components of events, such as managing vendor relationships, organizing site visits, coordinating with event venues, and supporting volunteer management during events.

  • Collaborate with the business systems strategy team to ensure all technical aspects of events (e.g., registration, website, and app builds) are in place and functioning properly.

 

Post-Event Assessment and Continuous Improvement

  • Support post-event evaluation processes, including gathering and analyzing participant feedback to identify areas for improvement in future events.

  • Work with the DoME and ADME to apply lessons learned to upcoming events, ensuring continuous improvement in event execution.

 

Additional Responsibilities

  • Support the association with additional tasks as needed, ensuring that all responsibilities align with NASPA’s mission and goals.

Preferred Qualifications

  • 3–5 years of experience in meeting and event planning, with a strong preference for experience within an association setting.

  • Demonstrated ability to manage multiple events simultaneously and to execute high-quality event logistics.

  • Strong communication skills and experience working with volunteers, vendors, and cross-functional teams.

  • Familiarity with both virtual and in-person event formats and their unique logistical needs.

  • Excellent organizational skills and attention to detail, with the ability to adapt quickly to changing event demands.

 

Qualifications

  • Bachelor’s degree in Business Administration or related discipline, or an equivalent combination of education and experience. A Certified Meeting Professional (CMP), Project Management Professional (PMP), or similar designation is preferred 

  • Proficiency with MS Office Suite, G Suite and Project Management tools (Asana, Hubspot, Salesforce, etc.)

  • Ability to work independently, as well as in a team environment

  • Strong organizational skills and acute attention to detail

Insights and Impact leads the data analytics, research, and impact work of FirstGen Forward, providing timely information on first-generation student success and the work of FirstGen Forward to external and internal audiences. 

 

Reports To: Assistant Vice President, Data Analytics

About the Position

The research and data manager, with focus on FirstGen Forward's engagement with the Postsecondary Data Partnership (PDP) will serve a vital role in managing and analyzing data in support of FirstGen Forward programs, services, offerings, and outcomes, with primary focus on the management and analysis of data submitted to the Postsecondary Data Partnership. The manager will work closely with the Insights & Impact team to support the research, assessment, and evaluation efforts for FirstGen Forward as well as existing programs and services. The manager will also communicate findings in ways that encourage both internal and external audiences to utilize data for actionable decision-making. 

 

Essential Responsibilities

 

Postsecondary Data Partnership (PDP)

  • Serve as one of the primary liaisons between FirstGen Forward and the Postsecondary Data Partnership, attending weekly meetings with the PDP account manager, quarterly meetings with other third-party organizations, and bi-annual virtual and in-person convenings;

  • Lead the PDP data submission project management for FirstGen Forward Network institutions by managing timelines, internal and external communications, and escalating challenges to appropriate internal audiences and the PDP; 

  • Audit data submitted to the PDP for quality assurance regarding the successful submission of first-generation data, and data output within expected bounds;

  • Work with the Data Expert Guide to ensure institutions have the support and understanding of PDP dashboards and analysis-ready files for continuous improvement;

  • Analyze PDP data to assess the impact of FirstGen Forward and the trends in first-generation student outcomes across the FirstGen Forward Network.   

 

Data Analytics:

  • Manage existing FirstGen Forward data, and organize the data to be appropriately utilized by FirstGen Forward staff for analysis and decision-making; 

  • Manage and plan data collection for FirstGen Forward research, assessment, and evaluation efforts across a set timeframe;

  • Manage, evaluate, and develop the current data infrastructure and organizational procedures for effectively storing and analyzing data, and reporting key findings and analytics efficiently and effectively;

  • Identify missing data and carry out plans to fill data gaps;  

  • Analyze and interpret data from the various internal and external data sets; 

  • Merge multiple datasets to create data narratives; 

  • Prepare, analyze, interpret, and present data for various audiences using tables, charts, visualizations, dashboards, and written reports; and 

  • Utilize predictive analytics, group comparisons, and longitudinal analysis to identify trends across FirstGen Forward data. 

 

Project Management:

  • Lead the planning and administration of FirstGen Forward data collection and analytics;

  • Design Asana projects for tracking Network institutions’ milestones and data collection;

  • Act as a liaison between the FirstGen Forward’s Growth team and Network Recruitment and Operations team; 

  • Prepare and deliver reports for institutions, stakeholders, and funders; 

  • Support FirstGen Forward staff in their goals by providing appropriate, relevant, and timely data;

  • Provide data visualization design support for external funders, recruitment collateral, presentation templates, video development, and editing;

  • Support elements of the formative and summative evaluation processes;

  • Support elements of the FirstGen Forward’s research agenda, including landscape analysis; 

  • Manage timely correspondence with FirstGen Forward Network institutions, stakeholders, and partners and provide outstanding customer service.

 

Additional Responsibilities:

  • Serve as part of the FirstGen Forward’s Insights & Impact  team on team projects;

  • Support FirstGen Forward staff with research, assessment, and evaluation of programs and services to include FirstGen Forward Online Learning, CatalystFIRST, and the First-generation Student Success Conference;

  • Participate in departmental, divisional, and organizational strategic planning, meetings, and projects;

  • Support FirstGen Forward and NASPA tasks, projects, professional development, and engagement as deemed appropriate;

  • Assist with all-team projects and actively participate in staff meetings and projects; and 

  • Other activities, duties, and responsibilities as assigned to support the association. 

 

Qualifications

  • A commitment to first-generation student success through personal experience, research interests, and/or practice.

  • A bachelor’s degree is required, a master’s degree is preferred or commensurate experience in higher education data analytics.

  • Experience in higher education, data science, statistics, and/or other relevant fields.

  • Experience with the Postsecondary Data Partnership is preferred.

  • Professional experience conducting quantitative and qualitative research projects, including manipulating, validating, and analyzing large-scale data, administering quality assurance processes, and writing research findings.

  • Experience with complex, detailed project management with strong organizational skills, ability to establish priorities, and attention to detail and deadlines is required:

    • Experience with project management in the Asana platform is a benefit.

  • Strong customer service, interpersonal skills, and critical thinking with the ability to manage competing priorities in a fast-paced environment.

  • Strong oral and written communication skills as well as experience with data visualization and reporting.

  • Familiarity with college and university data systems, fields, and reporting structures.

  • Proficiency in utilizing Google Suite, Microsoft Office, Outlook, and video conferencing software

The Campus Support Coordinator provides assistance and support to two statewide grant funded coalitions: Coalition of Colorado Collegiate Alcohol and Drug Educators (CADE) and Healthy Colleges Montana (HCM). Working collaboratively with NASPA staff, campus professional staff, and students, the Campus Support Coordinator ensures that campuses receive timely customer service and administrative support. Essential Responsibilities

Statewide Coalition Projects

  • Verify accurate reimbursement and contract submissions from coalition campuses

  • Coordinate accounts payable and accounts receivable for the projects

About the Position

The Director of Workforce Development & Solutions will initially lead a groundbreaking initiative to enhance workforce outcomes for Texas community college students. This leader will partner with the FirstGen Forward team to recruit new community college partners, and will be responsible for building key relationships with community college department leaders within each college and employers. The preference will be for this leader to have experience in, or knowledge of workforce development and community colleges. This leader should have experience working in a community college system and a track record of student outcome results, e.g. increased graduation, transfer rates, workforce or job placement. Key initial responsibilities will include ongoing engagement with community college leaders and Texas corporate employers.  

 

Essential Responsibilities

Stakeholder Collaboration & Partnership Development

  • Recruit and onboard community college partners from regions across Texas.

  • Build and maintain strong relationships with community college leadership teams, Texas business leaders, and workforce development organizations.

  • Facilitate collaboration among Texas community colleges and members of the FirstGen Forward Network to share best practices and innovations.

  • Lead efforts to train and support academic and career coaches at partner institutions to improve student advising and career readiness.

  • Oversee the creation of a virtual resource library with tools, templates, and guidance for partner institutions to achieve workforce placement goals.

About the Position

The Director, Financial Operations is a new role at FirstGen Forward developed to provide critical financial management and financial systems oversight for our growing nonprofit. The person in this role will be primarily responsible for developing and managing departmental budgets, managing philanthropic grant spend, overseeing weekly expense processing, and monitoring month and year end close processes and reporting. NASPA is FirstGen Forward’s fiscal sponsor and also provides technical accounting support for this work through a managed services agreement. The Director, Financial Operations will work closely with NASPA’s accounting team and controller to create and facilitate these processes and provide reports and analysis to the Assistant Vice President, Growth & Operations and FirstGen Forward Leadership Team. The person in this role will also help define the strategy for the organization moving forward as we determine whether or not we will maintain our fiscal sponsorship and management services agreement with NASPA or build out independent operations. 

 

FY25 Annual Goals

  • Month end close is completed by the 20th of each month. 

  • 90% of available restricted grant funds are expended by June 30, 2025.

  • 100% of grant reports are completed, submitted, and accepted by the stated due date with no more than a 10% budget variation between approved budget categories. 

  • FirstGen Forward ends the fiscal year with 6 months cash on hand. 

  • Annual audit returns no material misstatements or non-compliance as it pertains to philanthropic funding. 

 

Essential Responsibilities

  • Establish and maintain strong relationships with NASPA’s accounting team. 

  • Develop and sustain strong relationships with internal grant managers and stakeholders. 

  • Create and communicate financial procedures in collaboration with NASPA’s accounting team to support organization and staff needs, training staff to ensure compliance.

  • Work with department leads to create annual budgets and monitor on a monthly basis. 

  • Monitor grant spend down, identify grant expenses, and produce a monthly grant status report for FirstGen Forward’s leadership team.

  • Lead the production of grant summary documents for each grant, including newly awarded grants, to summarize the terms, funding, and intent for internal stakeholders. 

  • Lead grant check-in meetings with key internal stakeholders to address spending concerns or necessary budget amendments. 

  • Prepare monthly transfer requests for grant expenses to NASPA’s accounting team for processing. 

  • Closely review month end close reports and questions with NASPA’s accounting team to facilitate a timely and accurate close. 

  • Partner with NASPA’s accounting team and external auditors to facilitate and complete the organization’s annual audit. 

 

Qualifications

FirstGen Forward seeks a solution-oriented leader with experience engaging diverse stakeholders and possessing:

  • A bachelor’s degree in accounting, finance, or a similar field required

  • 3-4 years of relevant experience, including at least 1 year of direct experience with philanthropic contributions or nonprofit finance
